What can actually be automated?
Anything repetitive that follows consistent rules. The common ones are enquiries routing into a CRM, booking confirmations and reminders, invoices raised from completed orders, review requests sent after delivery, and reports compiled automatically each month. What cannot be automated well is anything requiring judgement, and we will tell you when a task falls into that category.
How much does automation cost in Hong Kong?
Workflow setup starts at HK$10,000 for a handful of connections, connected systems from HK$30,000, and AI or custom work from HK$60,000. What moves the price is how many systems are involved and whether they have proper integrations available. Systems with good APIs are quick. Systems without them take custom work and cost more.
What are the ongoing costs?
Most automation runs on third-party platforms such as Zapier or Make, which charge monthly based on how many tasks you run. AI chat platforms charge separately, usually per conversation or per month. All of these are billed directly to you in your own accounts rather than marked up through us, and we will estimate what your volume will cost before building anything.
Can you automate WhatsApp?
Yes, through the WhatsApp Business API. We can automate booking confirmations, reminders, order updates and enquiry routing. There are rules about what you can send and when, particularly around unsolicited messages, and message templates need approving in advance. We handle that setup and explain the constraints before you build a process that depends on it.
Do AI chatbots actually work?
For answering questions from your own documented content, booking appointments and qualifying enquiries, yes. For anything requiring judgement or handling an unusual situation, no, and any agency claiming otherwise is overselling. We configure chat with clear boundaries and a handover to a human, because a bot that confidently invents an answer costs you more than having no bot.
What happens when an automation breaks?
It will, eventually. Third-party services change their APIs, credentials expire, and formats shift. We build error handling and failure alerts into every workflow so you find out immediately rather than discovering three weeks of enquiries went nowhere. Ongoing monitoring is available monthly, or your team can handle it with the documentation we provide.
Can you connect to our existing systems?
Usually. Most mainstream tools have integrations already, and where they do not we can often build a custom connection through their API. What matters is whether the system allows external access at all. Some older or locally-built software does not, and we will tell you honestly during the mapping stage rather than discovering it halfway through a build.
Do we own the automations?
Yes. Everything is built inside accounts registered to your business, with credentials you hold. This matters more than it sounds: agencies that build in their own Zapier account effectively hold your operations hostage. If you leave us, your automations keep running and you do not need to ask us for anything.
Can you keep our English and Chinese content in sync?
Yes, and it is one of the more useful things we automate for Hong Kong businesses. We build workflows that flag when an English page changes and the Chinese version has not, route content for translation, and track what is pending. AI can draft translations, though for published content we would still recommend a native reviewer.
Is government funding available?
Possibly, for eligible Hong Kong SMEs. Several schemes cover technology adoption and process improvement, which automation projects often fit. We can provide the itemised quotation and project scope most schemes ask for.
